About this policy

This Privacy Policy applies to the National Intermediate Games Eko 2026 website, registration and results portals, public accreditation verification pages, and any associated mobile application that links to this policy (together, the “Platform”).

The Platform is used by athletes, team officials, delegates, federation members, organising committee members, record officers, administrators, and authorised support personnel. References to “NIG Eko 2026”, “we”, “us”, or “our” mean the organisers and authorised operators of the National Intermediate Games Eko 2026 digital platform.

Information we collect

Depending on how you use the Platform, we may collect or process:

  • Account and access information: name, username, email address, assigned role, state or federation association, login activity, and authentication tokens.
  • Participant identity information: first name, middle or other names, surname, date of birth, gender, National Identification Number (NIN), NIN verification identifier, state represented, and participant role.
  • Registration information: sport, selected events, team or Games function, phone number, optional contact details, address, emergency contact information, and registration or approval status.
  • Documents and images: passport photograph, photograph returned by an authorised identity-verification process, and athlete consent forms.
  • Accreditation and competition records: accreditation ID, card details, access privileges, results, medals, points, ranking, and related event records.
  • Technical and support information: IP address, browser or device information, request timestamps, diagnostic and security logs, and messages sent to support.

We receive information directly from you, from an authorised officer registering on your behalf, from Games administrators, or from an authorised identity-verification service. Please provide only accurate information that you are authorised to submit.

How we use information

We use personal information where necessary to:

  • create and manage authorised Platform accounts;
  • verify participant identity and reduce duplicate or fraudulent registrations;
  • register athletes and officials, assess applications, and communicate approval or rejection reasons;
  • issue and verify accreditation cards and manage access privileges;
  • administer sport entries, results, rankings, medals, and official Games records;
  • provide support, investigate errors, and protect the Platform from misuse;
  • comply with applicable law, safeguarding responsibilities, and lawful requests; and
  • produce aggregated operational statistics that do not directly identify an individual.

NIN verification may return identity details that automatically fill locked registration fields. Verification supports the registration process; authorised Games personnel may still review the application before its status is changed.

Public accreditation profile

Accreditation cards contain a QR code that links to a public verification page. To allow venues and members of the public to confirm that a credential is genuine, this page may display a participant’s name, photograph, accreditation ID, role, gender, represented state, sport, and registered events.

The public page is not intended to display a participant’s NIN, date of birth, contact details, consent form, emergency contacts, login credentials, or NIN verification identifier. If you believe a public profile shows incorrect or excessive information, contact us promptly.

How information is shared

We may disclose relevant information to:

  • authorised administrators, delegation desk officers, federation officials, organising committee personnel, record officers, and accreditation or venue staff;
  • service providers that support identity verification, cloud hosting, file storage, security, communications, and technical operations;
  • sports and government bodies involved in administering or safeguarding the Games; and
  • regulators, law-enforcement bodies, courts, or other parties where disclosure is required by law or necessary to protect people, the Games, or the Platform.

We do not sell participant information as a consumer list, and we do not use it for third-party behavioural advertising. Service providers are expected to process information only for the services they provide and under appropriate confidentiality and security obligations.

Retention, storage, and security

We retain personal information for as long as it is reasonably needed to operate the Games, maintain accreditation and official competition records, resolve disputes, meet audit requirements, and comply with applicable law. Retention periods may differ by record type. When data is no longer required, we will delete, anonymise, or securely restrict it where reasonably practicable.

Information may be processed or stored using service providers inside or outside Nigeria. Where applicable, we use contractual, organisational, and technical safeguards for such processing. These include role-based access, authenticated portals, transport encryption, logging, and access controls. No electronic system is completely secure, so we cannot guarantee absolute security.

Participants under 18

Some athletes may be under 18. Their information should be submitted only by an authorised delegation representative and with parent or guardian involvement or consent where required. Athlete consent forms are collected as part of the registration process. If you believe a minor’s information was submitted without proper authority, please contact us so the record can be reviewed.

Your choices and rights

Subject to applicable law and the need to preserve official Games records, you may ask us to access, correct, update, restrict, or delete personal information, object to certain processing, or withdraw consent where consent is the basis for processing.

To help us locate the correct record, include your full name, accreditation ID if available, represented state or organisation, and your relationship to the participant. Do not email your password, full NIN, or a copy of an identity document. We may need to verify your identity or authority before completing a request.

Third-party services and policy changes

The Platform may link to third-party websites or services. Their privacy practices are governed by their own policies. We may update this policy when the Platform, Games operations, or applicable requirements change. The revised date at the top of this page shows when the latest version became effective. Material changes will be highlighted through the Platform where appropriate.
